Microfilm office discusses space

EATON — Missy Smith attended the Preble County Commissioners’ meeting on Wednesday, Feb. 26, to discuss storage space and operations questions of the Microfilm Office.

She explained, since Microfilm is currently located outside of the courthouse — due to radon issues — and offices files are located in the courthouse, she was wondering if they should keep files in the new location or transfer them over from the courthouse continuously.

She added, some offices have 80 boxes alone they are interested in being microfilmed currently. They don’t have room at the new location and wanted to know if she should plan to leave the boxes downstairs.

Commissioner Rodney Creech said, “With that being short term, I don’t know why we would want to start storing stuff [over there].”

Commissioner President Denise Robertson suggested splitting the documents up so she had the documents she needed in the office and ones she didn’t currently need in the courthouse.

Commissioner Chris Day asked about general operations, explaining he wanted to understand more. He also suggested several options for transferring files to the new location, while storing the majority at the courthouse.

“Until we figure out everything we have to do over there, we don’t know a timeline on what is going to transpire, as far as what remediation we’re going to do down there,” he said.

Commissioners suggested several ways Smith could handle her operations and requests from the public.

In other business, the commissioners:

•Approved a resolution referencing the transfer of funds for Children Services.

•Authorized a payment in the amount of $2,550 for the Preble County Engineer.

•Authorized an expenditure in the amount of $6,678.34 for the repair of air conditioning system for TA30 Terex Truck for the Preble County Landfill.

•Noted receipt of and signed an elevator maintenance agreement with Schindler Elevator in the amount of $5,877.96 for Building Maintenance.

The Preble County Commissioners meet every Monday and Wednesday at 9 a.m. in the Preble County Courthouse, unless noted otherwise.
