Commissioners review Records Commission contracts

EATON — Preble County Commissioners held their Records Commission meeting on Monday, March 13, and discussed record retention and various contracts concerning digital documentation of out-of-county departments.

Microfilm Director Erica Davis presented the board with three separate contracts regarding processing records for outside departments in the Preble County Microfilm office. According to the board, processing and digitizing records for out of county departments would provide a steady revenue stream, but at the cost of machinery wear.

Davis is confident the current county scanners are more than capable for the job but would need to replace parts roughly every five years should her workload increase significantly.

Davis said this service would offer smaller agencies the ability to comply with ORC (Ohio Revised Code) records retention laws, and thereby provide a good business base.

The board chose a contract and is currently working to revise its conditions before accepting it in the near future.
